As outlined in Time Management, a Health Administrative Assistant needs to have top-notch time management skills to efficiently administer the clinic’s and health provider’s time, optimize the needs of clients and strike an appropriate balance between work and personal time for themselves. Dr. Stephen Covey, of the 7 Habits of Highly Effective People fame, relates that there is a time management matrix of four intersecting quadrants that all our activities can be categorized against. These quadrants include; (i) the urgent and important, (ii) the important but not urgent, (iii) the urgent but not important, and (iv) the non-urgent and not important. Furthermore, he uses the metaphor of ‘big rocks” to identify what the most important goals, priorities and actions are that make a positive difference in each of our lives. This discussion requires you to complete some pre-planning this week, some detailed tracking of your activities, as well as analysis and reflection of the results.

DIRECTIONS:

Determine what your top priorities/actions, your “big rocks” are for this week. These should align with your roles (ie being a parent, spouse, an employee, a student, etc) and your goals (ie completing a work or school project by a deadline, taking your child or parent to an important medical appointment, meeting with your claims adjustor or lawyer, etc).
For three consecutive days this week (use three days between Monday and Friday and exclude the weekend), keep an inventory of each day’s activities in 30 minute time blocks for each day’s morning, afternoon, and evening. Use a system that is simple and  works best for you; perhaps your phone’s calendar, or Outlook calendar, or appointment book or paper calendar. At the end of the three days, categorize your activities, add up the time spent on activities by category and divide by three. Relate these to the quadrants mentioned above. This is an estimate of the average amount of time daily spent on each category and the activities within that category.  
For your discussion posting, address the following results of your tracking and analysis; 
What proportion of time (or percentage) was dedicated to your priorities, the “big rocks” you set in #1 above? Was this what you expected?
What proportion of time (or percentage) was spent on time you did not consider to be your main priorities? This may have been the urgent, but not important and non-urgent, not-important activities.
What occurred this week to either keep you on track, or to distract you from  your “big rock” priorities? What are your thoughts and feelings about this?
Reflecting on the impacts of these results(ie on your job/school, relationships), what commitments will you make about your priorities for the next few weeks? (use SMART goal statements here).
